A useful explanation identifies the disputed content and why the evidence supports the concern. The appeal is not available for every situation and does not guarantee a different outcome. Where reviews and replies are available for your category and country or region, and you have the required verified-profile access, a short reply may clarify a concern for readers. Google's reply guidance explains how to submit one. Replies are checked before publication, so a saved draft is not proof of a public response.
You can say, for example: “We would like to understand the concern. Please contact us through our usual private channel so we can look into it.” Adapt this only if that channel exists and the business can follow through. It is not an admission of the alleged facts or a guarantee of removal.
For a clinic or other confidential service, do not confirm or deny that the writer is a patient or client. Do not mention records, treatment or a case to win the public argument. A reply can be useful, but it is optional and does not guarantee faster assessment of the report.
If you are in the UK
The UK has a separate consumer-law context. The CMA's current guidance collection explains the banned practice relating to fake reviews and concealed incentivised reviews under changes introduced in April 2025. Whether a particular action falls within the law depends on the conduct and circumstances; suspicion about a review does not itself establish that someone broke the law.
